Concepts for importing legacy data

When transitioning to a new editorial tool and especially when implementing an editorial system (content management system), sooner or later the topic of importing legacy data arises. After all, the valuable information managed for many years should be able to be used further. That is especially true when the information has already been translated into many languages.

The ideal concept is often the automated import of the legacy data using tools and filters which, for example, allocate XML elements to Word style sheets. However, the decisive question is whether the information is truly as valuable as presumed. If the information was prepared without clear specifications or without a focus on modularization and reutilization, it is not likely. Here it is not so much a matter of the effort involved in preparing the information anew (including the translations). In the long run, it is much more decisive how what costs result from managing your "old" information and whether it even still correlates to the newly-prepared information.

Our procedure:
  • We define the guidelines for the information to be prepared in the future primarily under consideration of structuring and phrasing.
  • We investigate the conformity of your existing documentation to the future concept.
  • We do random testing of the quality of your translations.
  • We gather information regarding the future strategy of your company, especially about future products, variants and planned entry into new markets.
  • Together with you we determine the process for importing legacy data and define a schedule. In doing so, we are geared toward the development and market launch of your products.
  • Together with you we determine which products' importing legacy data will be dispensed with, they will not be manufactured anymore in the near future.
  • As far as possible, we predominantly collect information which can be used for as many products and instructions as possible.
  • We create the necessary publications and coordinate them with you.
  • We initiate the translation of revised information.

Advantages for you:

  • Your legacy data is imported waste-free
  • Minimized consequential costs due to standardized information
  • High quality of the valid information and documents
  • Targeted adherence to time and resource specifications
